Tips for Filing Effective Reports

A well-written report helps warn other consumers and may even lead to resolution of your issue. Here's how to make your report as effective as possible.

Key Tips for Success

Be Specific and Detailed

Include dates, times, amounts, product/service names, and employee names if known. Specific details make your report more credible and useful.

Document Everything

Save receipts, contracts, emails, chat logs, and screenshots. Take photos of defective products. The more evidence, the stronger your report.

Create a Timeline

Present events in chronological order. When did you purchase? When did problems start? What steps did you take to resolve it?

Include Visual Evidence

Photos and screenshots are powerful. Capture product defects, misleading advertising, or email exchanges with the company.

Stay Factual and Calm

Stick to facts. Emotional language or exaggeration weakens your report. Let the facts speak for themselves.

Explain What You Want

State the resolution you're seeking: refund, replacement, apology, or just to warn others. Clear expectations help frame your report.

Do's and Don'ts

Do

  • Include the full company name and location
  • Provide exact dates and transaction amounts
  • Describe what was promised vs. what was delivered
  • Explain steps you took to resolve the issue
  • Upload supporting documents and photos
  • Update your report if the issue gets resolved

Don't

  • Don't use excessive profanity or personal attacks
  • Don't include other people's private information
  • Don't exaggerate or make false claims
  • Don't submit reports about competitors
  • Don't copy content from other sources
  • Don't threaten violence or illegal action

Sample Report Structure

Opening: Brief summary of the issue

“On January 15, 2026, I purchased a laptop from TechStore Online for $899. The laptop arrived with a cracked screen and the company has refused to honor their return policy.”

Details: What happened, step by step

“I ordered the laptop on their website (order #12345). It arrived on January 20th via FedEx. Upon opening, I immediately noticed the screen was cracked. I contacted customer service the same day and was told I would receive a return label within 24 hours. After waiting 5 days with no response...”

Resolution Attempts: Steps you took

“I have called customer service 4 times (January 25, 27, 30, and February 2). Each time I was promised a callback that never came. I also sent 3 emails with photos of the damage attached. The only response was an automated message.”

Desired Outcome: What you want

“I am seeking a full refund of $899. I have also filed a dispute with my credit card company. I want to warn other consumers about this company's deceptive practices and non-existent customer service.”
